Who this notice covers

This notice covers GSD Index and its owner applications and regional event-alert service. Contact support@gsdindex.com about personal information. The name GSD Index identifies the service; linked organizers and registries operate their own websites and policies.

What we use and why

• Accounts: Wix member identifiers, email and account status support sign-in, account security and application ownership.
• Dog profiles: names, registration details, pedigree, results, photographs, kennel, website and the location you submit support the directory. Approved profile fields, including city if provided, become public. Public-source records may exist without an owner account.
• Private applications: ownership evidence, upload receipts, review notes, consent timestamps and application history support ownership checks, disputes and abuse prevention. Evidence is not part of the public profile payload. Access is restricted to authorized administrators and service providers needed to operate the system.
• Orders: plan, order and payment-status references support paid services and refunds. Checkout is currently closed. Do not send us card numbers; any future payment checkout will identify its payment provider.
• Support: your email, message and relevant references let us respond and keep a record of the request.
• Event alerts: your email, selected area, event preference and consent date are used for the alerts you request. Delivery has not launched; address confirmation will be required when it does.

Location, storage & outside services

Nearby browsing requests an approximate country from our Cloudflare-hosted location service using network information. It does not request GPS or a precise home address. You can choose a different region. A country preference is stored for the browser session; compared dog IDs are stored locally until you clear them or your browser storage.

Wix provides hosting, accounts, CMS, private media and order infrastructure. Cloudflare operates the event-alert and approximate-location service. Authentication uses necessary session storage or cookies. OpenStreetMap tiles and external font resources can receive your IP address and browser information when loaded. Hosting and other providers may keep security or operational logs; the nearby-browsing feature does not store your IP in a dog profile.

We do not operate a sale-of-personal-data program or behavioral-advertising tracker in this build. We do not share alert subscribers with event organizers. Providers may process information in countries other than yours. External websites opened from profiles have their own privacy practices.

Private documents & retention

Upload only the part of a registration or transfer record needed to link you to the dog. Redact addresses, payment information and unrelated identifiers. Do not upload government identity documents.

Deletion is handled manually. The admin review queue flags the following retention checkpoints; these are cleanup targets, not an automatic file-deletion timer:

• Approved ownership evidence: remove raw proof within 90 days after the approval decision, retaining a minimal verification receipt while the owner profile is active.
• Rejected or withdrawn applications: remove raw proof and unpublished uploads within 30 days of the final decision or withdrawal request.
• Inactive drafts or change requests: review for closure and remove unnecessary uploads after 90 days without activity.
• Unresolved submitted applications: review necessity after 180 days; close or document why continued review is needed.

Active ownership disputes, fraud investigations or legal obligations can require longer retention. Any exception should record its reason and next review date. Minimal transaction, consent, decision and complaint records are retained as needed to resolve the service or meet applicable recordkeeping duties. Published owner information remains while the service is active; independently sourced results are assessed separately.

Pending regional-alert requests expire after 90 days if alerts have not launched. Save the removal link returned at signup to delete your request. Email us if you no longer have it. Provider backups and logs may expire on separate schedules; we cannot promise instant removal from every backup.

Your choices & requests

Email support to request access, a correction, deletion, a copy of information you supplied, or withdrawal of alert consent. Rights and exceptions depend on applicable law. We may verify control of the account or ask for a limited reference before disclosing private information. Do not send sensitive documents in your initial email.

“Withdraw & request deletion” in your account immediately hides that owner application and queues manual review. It does not automatically erase the original dog’s public competition history, close your Wix account, refund an order or purge uploaded files. Tell support which of those actions you need. We explain any information we must retain.

Owner applications and paid services are for adults legally able to enter an agreement. Contact us if a child has submitted personal information. Material changes to how information is used will be reflected here and, where required, notified or separately consented to.
